ProPay Merchant Account Setup  

Wayroo’s Selling Tools — including the ability to accept payments, process transactions, and connect a card reader — are unlocked once you set up a merchant account with ProPay, Wayroo’s payment processing partner.  This guide walks you through the ProPay onboarding process step by step so you can get set up and start selling.

Whether you need to complete merchant account setup depends on how your organization is configured. 

If your organization requires merchant processing 

Your organization requires a ProPay merchant account in order to use Wayroo’s selling tools and accept payments. There are two possible onboarding experiences: 

  • Your merchant account was created during enrollment. Some organizations collect the required ProPay information as part of their enrollment process. If you already provided this information when you joined your organization, your merchant account will be created for you. When you sign in to Wayroo, you can begin using selling tools without completing any additional setup. 
  • You’ll complete setup in Wayroo. If your organization does not collect ProPay information during enrollment, you’ll be prompted to complete the merchant account setup (outlined in this article) the first time you sign in to Wayroo. Once your application is approved, you’ll be able to accept payments and use Wayroo’s selling tools. 

If your organization does not require merchant processing 

You can use many of Wayroo’s core features without a merchant account, including your business dashboard and other non-payment tools. 

When you’re ready to accept payments and use Wayroo’s selling tools, select the Selling Tools button or banner from the main menu to begin the ProPay merchant account setup.

Before You Begin

Here’s what you’ll need to have ready before starting your merchant account setup:

  • EIN Number — Required only if you operate your business as a registered LLC, private company, or partnership.
  • Bank account number and routing number — You’ll need a bank account connected to your ProPay merchant account to transfer funds into or out of your ProPay account.
  • Payment for:
    • The one-time setup fee of $7.50
    • Optional: purchasing a card reader

Complete Your Setup

Follow the prompts on the screen to set up your ProPay merchant account. Most fields are straightforward, but some may require additional context or specific information. Use the guidance below for explanations, examples, and answers to commonly asked questions throughout the application process.

Step 1: Business Information

Your business name, email, phone number, and address will be auto-filled with the information you have on file with your Back Office. Below are additional details for fields that commonly need clarification.

Business Name (DBA Name)

You can edit this if you wish.

Note: This will be displayed on your online store, invoices, receipts, and your customers’ credit card statements. Example: “Jane Smith” will appear as “Jane Smith’s Online Store”

Business Address

Cannot be a P.O. Box. If you operate your business out of your home, enter your home address here.

A: This is not the address your customers see on invoices and receipts. The address you have on file with your organization will appear on receipts and invoices. Please confirm or edit that address in your Back Office.

Business Type

If you select Limited Liability Company (LLC), Private Company, or Partnership, you will also need to enter your Business Legal Name and Federal Tax ID (EIN).

Note: Your Business Legal Name must be entered exactly as it is registered with the IRS.

Step 2: Start Accepting Payments

To help keep payment processing secure and compliant, we’ll ask for some personal information to verify your identity and set up your merchant account. This information is securely handled and is required before you can begin accepting credit card payments. For more information about how your information is collected and protected, you can review the Wayroo Privacy Policy.

Below are helpful notes and clarifications for fields that may be unfamiliar:

Business Ownership Percentage

This field only appears for LLC, Private Company, or Partnership business types. If you enter a value less than 100%, you will be asked to provide additional business ownership information before moving on to Step 3. If you operate as an Individual/Sole Proprietorship, this field will not appear on your application.

Daytime Phone Number & Evening Phone Number

You can enter the same phone number in both fields if you only have one.

Home Address

If your home address differs from your business address, toggle the “Same as Business Address” option off and enter your home address.

Step 3: Where Should We Send Payments?

You’ll provide the bank account information you’d like to connect to your ProPay merchant account. A connected bank account is required in case you need to transfer funds into or out of your ProPay account.

Reviewing Fees and Payment Terms

Here you will see the Account Setup Fee — this is a one-time ProPay setup fee due upon submission of your application.

Note: There are no annual fees associated with ProPay merchant processing in Wayroo!

You will also see your ongoing Processing Fees. These are not due at this time — they are listed here to inform you of the fees applied to each type of transaction. To move forward, review and accept the terms and conditions at the bottom of this screen.

Credit Card Reader

Here you can choose whether to purchase a ProPay card reader. While this purchase is optional, having a card reader makes in-person checkout faster and comes with a lower transaction fee.

Order Summary

Review your totals due upon submission and verify your billing address. If you chose to purchase a card reader, you will also be prompted to verify your shipping address.

Payment Information

In this final step, enter the payment info you’d like to use to pay for your setup fee and card reader. Once you submit payment you should be approved in SECONDS! ProPay will contact you directly if there are any issues with your application. 

Once You’re Approved

Once approved with ProPay, you can start selling right away!
