General:
Visit the Apple App Store or the Google PlayStore and search for Wayroo
Whether you need to set up a merchant account depends on how your organization is configured.
If your organization requires merchant processing:
- If your ProPay information was collected during enrollment, your merchant account is created for you — no additional setup is needed.
- If it wasn’t, you’ll be prompted to complete the setup the first time you sign in to Wayroo.
If your organization does not require merchant processing: You can start using Wayroo’s core features right away, including your Dashboard. When you’re ready to accept payments, select the Selling Tools banner or button in the main menu to begin your ProPay setup.
ProPay is Wayroo’s payment processing partner. You can complete your application in the Wayroo app or in your Online Portal — no need to switch devices.
Once your ProPay setup is complete and your store has been approved in Wayroo, you’re ready to accept orders.
There is a ONE-TIME charge of $7.50 for your ProPay merchant account setup, and purchasing a card reader is optional. Wayroo doesn’t charge a monthly or subscription fee to use the app. You’ll still pay standard card processing fees on the transactions you run, and optional add-ons such as ShippingEasy are billed separately by those providers.
Your Wayroo account was created using the account information your organization (your Direct Selling Organization, or DSO) has on file for you. If you wish to update the Store Contact information that is visible to your customers on invoices, receipts and your online store, you can do this here

While you cannot ship your personal wholesale orders to a P.O. Box, you may choose to enter a P.O. Box for your store contact info.
You can update your business information (DBA, Business Legal Name, Federal Tax ID, EIN, phone numbers) in Settings > Business Information.
All of these are managed in your back office.

Yes, you can access Wayroo on two devices at the same time using the same account and credential. For example, you can use the same account to log in Wayroo on a phone and a tablet.
Yes! Wayroo was designed with face-to-face sales in mind – whether at a storefront, a tradeshow, or an in-home party. We encourage you to use it for all transactions. The best practice is to:
- Make sure to associate the sale with a customer so they receive a copy of their receipt. All receipts are emailed.
- Leveraging the camera on your mobile device allows you to quickly add items to orders by scanning barcodes on your items.
- Use the card reader to accept payments. It’s a faster checkout for your customer and you are charged less in fees.
Wayroo has been designed specifically for Consultants to access and manage their inventory, process orders, track payments and more. Customers can however browse and shop your inventory through your Wayroo Online Store just like any other online retailer.
No — you don’t need a separate barcode scanner. Wayroo has a built-in barcode scanning feature that uses your device’s camera. With it, you can quickly search or add inventory, add items to wholesale orders, and easily add products to customer orders.
Tip: A portable barcode scanner isn’t required, but it can be a great add-on tool. Many consultants find it especially helpful for speeding up Batch Invoicing. A scanner is only required if you’re importing inventory in the back office. Options are available on Amazon and other ecommerce sites.
To use Reply to Buy, you’ll need to connect a classic Facebook Business Page. Reply to Buy is not compatible with a personal profile or a Meta Business Page.

Offering free shipping store-wide will allow your customers who shop with you in Live sales and on your online storefront to not pay the shipping fees for any of their orders during the time you offer free shipping store-wide.
To turn ON free shipping store-wide
- Click Settings
- Click Edit next to Shipping
- Tap to the ON mode for Free Shipping over Amount
NOTE: A new field will appear for Minimum Order Total
- Enter $0.01
NOTE: If you already offer Free Shipping over a specific amount, all you will need to do is set this to $0.01. For example, if you offer Free Shipping on orders over $75, simply change the amount to $0.01
- Click Save
To turn OFF free shipping store-wide
- Click Settings
- Click Edit next to Shipping
- Tap to the OFF mode for Free Shipping over Amount
NOTE: If you previously offered Free Shipping over a specific amount, you will NOT set this to the OFF mode. You will enter the amount the customer must purchase before earning free shipping. For example, if you previously offered free shipping on orders over $75, simply change the amount to $75

You’re online storefront and invoices can display different contact information than your business information where your Direct Sales company would contact you. If you want to change the contact information that appears on your invoices or online storefront, follow these steps.
- Log into your backoffice
- Click My Profile
- Click Store Contact Info
- Contact Information: Your store must display either a phone number or an email address. You may choose to display both. If you want to display both phone number and email address, click Show on both
- Address Information: Your store must display a complete address. This can be a P.O. Box even if you cannot have your wholesale orders shipped to your P.O. Box. This allows your customers to have an address where they can send returns.
Changing the information here will not change your business contact information with your Direct Sales company. If this information needs to be updated please follow the steps according to your Direct Sales company.
Dashboard
Your Dashboard is your business command center. It pulls your key metrics into one central location so you can make informed, real-time decisions — whether you’re tracking daily orders or reviewing your monthly sales progress. Each widget is designed to give you a specific insight you can act on.
Not necessarily. Widget availability may vary based on your organization’s partnership with Wayroo. Some widgets are also limited by user role.
Use the Timeline picker at the top of your Dashboard. It controls the time range for the data displayed across your Dashboard. You can filter by:
- All
- Today / Yesterday
- This Week / Last Week
- This Month / Last Month
- This Year / Last Year
- Fiscal Year / Last Fiscal Year
- or a custom date range
When you update the selected timeframe, the Sales, Orders, and Customers widgets automatically adjust to reflect the selected period.
Your business week and fiscal year settings need to match your organization’s calendar:
- Go to Settings
- Select Time Zone & Calendar
- Next to ‘Business Week Starts On’, choose the day your business week begins, then Save
- Next to ‘Fiscal Year Starts On’, choose the month your fiscal year begins, then Save
These can be adjusted at any time if your business calendar changes.
Your Dashboard includes quick links that allow you to share your business and enrollment page. Each is a QR code you can tap to display for scanning, or tap Share to copy the link or send it via text, email, or social media:
- Shop With Me — directs customers to your replicated website, where they can browse and purchase products.
- Join My Team — directs individuals to your enrollment page, where they can sign up as a consultant with you as their sponsor.
- Register — links to your Online Store, where customers can enter their own information. Once submitted, their details appear in your customer list and are ready to use for their next order.
The Best Sellers widget shows your top 5 best-selling Items and your top 5 best-selling Categories from customer orders, within the timeline selected at the top of your Dashboard.
What is My Open Events?My Open Events shows your current and upcoming parties at a glance. Tap below the QR code and click the share icon to send an invite.
What is Rank Progress?Rank Progress tracks your progress toward the next rank level, based on your personal and team performance. It displays:
- Percentage Complete — the percentage of progress you’ve made toward your next rank (1/4)
- Current Rank — your current rank
- Next Rank — your next rank goal
- Projected Commissions — your projected commissions
- Credit Balance — your current credit account balance(s). Click the widget title for a more detailed view in your Back Office.
- Downline Summary — a snapshot of your downline team growth over the last 30 days. Categories shown are Total (all active team members), Renewals (active members whose renewal date falls within the period), and New (active members whose join date falls within the period). The widget title links to your Back Office.
- Autoship Volume — the volume you’ve received from all personal customer autoship orders in the last period, plus a projection for the current and next periods. The widget title links to your Back Office.
Your Customer Activity section includes three cards, each offering a snapshot of customer behavior during the selected timeline:
- New Customers — customers who completed their first-ever purchase within the selected timeline, ranked by total spend (factoring in refunds or returns). Use this card to prioritize follow-up with first-time shoppers.
- Top Customers — your highest-spending customers during the selected period, sorted by total spend and adjusted for refunds or returns.
- Top Offenders — customers with the highest number of unpaid invoices within the selected timeline, ranked by expiration rate (expired orders ÷ total orders).
For Top Offenders: Expired Orders are invoices that expired due to non-payment, and Total Orders are total paid or completed orders (refunds and returns excluded).
The Orders widget gives you a live snapshot of your order activity, including a breakdown of all orders by status within the selected timeline. Total Orders reflects the sum of all open, invoiced, paid, and completed orders — minus any returned pieces. Expired and cancelled invoices are not included in the total.
The Sales widget helps you track progress toward your personal selling goals — whether you’re aiming for a daily sales milestone or working toward a yearly revenue target.
- Use the Set Goal button
- Choose your goal type: by dollar amount or by piece count.
- Select your goal timeline: daily, weekly, monthly, or yearly.
- Enter your goal value and save
(If you’re editing an existing goal, use the three dots in the upper-right corner of the Sales widget and select Edit Sales Goal.)
Progress adjusts based on the timeline you select at the top of the page. For example, if your goal is set to $100 per week and you select “This Month” in the Timeline picker, your goal automatically scales to $400 for the month. If you’ve sold $70 so far, your progress displays as $70 out of $400 (17.5%).
Yes. Some widgets can be disabled at any time in your Dashboard Settings — the My Funds widget, for example, can be turned off so it doesn’t appear on your Dashboard at all.
Media Library
Wayroo’s Media Library gives you quick access to the content, resources, and marketing that your organization has made available to support your business. From social sharing assets and promotional videos to training materials and business resources, everything is organized in one place so you can easily find what you need.
Your company may use the Media Library for a variety of content, including product images, promotional graphics, videos, social media content, training materials, business resources, event information, and company announcements.
Every organization organizes their library differently, so categories and available content may vary. The Media Library content and permissions are managed by your company.
Inside the Media Library, browse through categories to find available content. Depending on what your company has provided, you may see images, videos, documents, text-only assets, and links. Select any asset to open and preview it — depending on the file type, you may be able to watch videos, view images, read documents, or preview marketing content before sharing.
Some assets may be marked as shareable by your company. When sharing is enabled, you can quickly post content to supported social media platforms directly from the Media Library. Your company may also provide pre-written captions or descriptions to help make sharing faster while keeping messaging consistent.
No. Default captions and descriptions cannot be edited within the Media Library.
If downloading is enabled, you can save the content directly to your device for future use. If the download button is disabled, the asset is view-only and can only be accessed inside the Media Library.
New content may be added regularly, so check back often for updates.
The Media Library content and permissions are managed by your company, so some assets may not be shareable or downloadable and some content may be viewable only. If you’re looking for content your organization hasn’t provided, reach out to your Organization Support team.
Notifications:
Look for the Notifications tab (bell icon) in Wayroo’s bottom navigation.
When you have unread activity, a badge appears on the tab showing how many new notifications are waiting for you. Tap the tab to open your notification list, where each alert is shown with a preview and a timestamp.
Notifications in Wayroo are organized into two categories based on where they originate:
- Updates — notifications sent from your organization’s back office. These may include organization announcements, communications from your home office, downline activity (such as new team members or renewals), customer-related alerts, and other information your organization chooses to share.
- Activity — notifications generated by actions that occur within your Wayroo experience, such as your Wayroo Online Store or app. Examples include paid orders, new customer registrations, and other activity related to your business.
The Updates you receive depend on your organization’s communication strategy and the features enabled for your account, and Activity notifications vary based on how you use Wayroo and the features available to you.
Activity notifications are generated by actions that occur within your Wayroo experience — for example, paid orders and new customer registrations, along with other activity related to your business.
Yes — those arrive as Updates from your organization’s back office. They can include organization announcements, communications from your home office, downline activity such as new team members or renewals, and customer-related alerts.
Each alert in your notification list is shown with a preview and a timestamp, so you can see what came in and when.
Updates are sent by your organization’s back office, and Activity notifications are generated by your own actions in Wayroo — so what you see depends on your organization’s communication strategy and the features enabled for your account. Invoicing:
Yes. To send an invoice, a customer must be selected before sending. Guest checkout is available for in-app orders, but invoices require a customer profile.
The required information to create a customer profile is:

Ways to add customers in Wayroo:
From Customers
Go to Customers in the navigation pane.
Tap the plus (“+”) icon in the upper right corner to add a new customer.
From Orders
Go to Orders in the navigation pane.
Tap the plus (“+”) icon in the upper right corner to create a new order.
Tap Add Customer in the lower right corner.
Import from the Online Portal
Customers can also be imported directly from CommentSold, Shopify, or Square.
Tip: While it may seem convenient to send a “guest invoice,” having customer profiles helps you build a portfolio of customers you can easily track, invoice, and follow up with.
These steps below will guide you through the process of giving an individual customer free shipping without having to change any of your standard shipping rates for all your other customers. Setting Free Shipping on the invoice will allow you to not charge this customer for their shipping costs, while still seamlessly sending the details to ShippingEasy once the customer has paid for the invoice.
- Click Orders
- Click + for creating a new invoice
- Select the customer for this invoice
TIP: If this is the first time the customer has shopped with you, click Add Customer to enter their first name, last name and email address

You may choose to start building a customer’s invoice as early as you want without sending it to them. To easily determine which of your open invoices have or have not yet been sent to your customer follow these steps.

- The app defaults to All with the filter selection
Note: All is both Invoiced and Not Invoiced
- Click
- Invoiced: These are invoices that have either been emailed to your customer or you have copied the invoice link to share through messenger or text.
- Not Invoiced: These are invoices that have not yet been emailed to your customer or the link to the invoice has not yet been copied for sharing.
Merchant Account (ProPay):
Yes, if you operate as an LLC or any other type of business entity. You’ll need to make these updates with your organization as well as in your Wayroo app.
- Contact your organization’s support team to get your account updated with your business name and EIN (Employee Identification Number).
- Update your account in Wayroo:
- Go to Settings
- Under Store Settings, select Business Information
- Update your Business Legal Name and Federal Tax ID (EIN)
Once a customer pays an invoice or places an order on your online store, the transaction is processed immediately. If the transaction is authorized, it enters a settlement period that same night. Funds from customer purchases will be available to you shortly after midnight Mountain Time the very next day — including weekends and holidays.
Your ProPay Prepaid Mastercard is linked to your ProPay account, so the balance on your card is the same as the balance in your ProPay account. You can view your available funds anytime under Manage Funds in the Wayroo app
You can view the available balance on your account by opening the app’s Main Menu and selecting Manage Funds.
There are two main options in Wayroo that will provide access to your funds:
- ProPay Prepaid Mastercard:
- In order to use this option, you will need to request a ProPay Prepaid card through the app following the steps outlined here.
- Transfer of funds from your ProPay account to your bank account.
- To use this option, you will need to go to Manage Funds and select Instant Transfer to Debit Card or Transfer Funds to Bank Account.
- Note: You do not need to do this step to transfer the funds to your Propay Prepaid Mastercard. This is only necessary if you want to transfer the funds to your personal/business account.
- To use this option, you will need to go to Manage Funds and select Instant Transfer to Debit Card or Transfer Funds to Bank Account.
You may add funds to your ProPay account and access them using your ProPay Prepaid Mastercard but first, you’ll need to validate your bank account.
- Click Manage Funds in the navigation pane.
- Select Add Funds to My ProPay Account.
As noted in the first screen below, two (2) small deposits are being sent to the bank account on file and should arrive within 2-3 business days.
Selecting Add Funds to My ProPay Account will direct you to the screen.
- On the ‘Add Funds To ProPay Account’ screen, click OK.
- On the next screen, under the ‘Bank Validation Started’, click CONTINUE.
- The validation process has been started successfully.
- Once you see the two deposits and know the amounts, return to Manage Funds in the navigation pane and select Add Funds to My ProPay Account once again.
- Enter the deposit amounts in the fields displayed and click SUBMIT.
Note: As mentioned in the screen above, you are only allowed one (1) opportunity to verify the deposit amounts, and any incorrect response will require you to start the validation process over again.
With your account enabled to process sales, you can now also have a Mastercard linked to your ProPay merchant account. What better and more convenient way to access your funds!
Follow the steps outlined here to request your Prepaid Mastercard.
You can use the ProPay Prepaid Mastercard anywhere Mastercard is accepted. Your ProPay Prepaid Mastercard can be used for purchases that do not exceed the available balance in your ProPay account. You can check this balance by going to Manage Funds.
You can also use your ProPay Prepaid Mastercard at participating ATMs that accept Mastercard Cards. The limit is $1,000 or the full amount in your Account Balance per day, whichever is less. There may be additional fees for ATM transactions.
Your ProPay Prepaid Mastercard CANNOT be used for certain types of transactions.
Examples include:
- Paying at the pump for gasoline
- Reserving or placing items on hold
- Gambling or Casinos (In-person or Internet)
- Cashback outside of an ATM
Note: Other types of Transactions that are not listed may be limited.
First, check the status of your card request in the app:
Go to Settings > ProPay Card > Card Information.
- If the status is Requested, your card should arrive within 2–4 weeks.
- If the status is Not Requested, go to Settings > ProPay Card > Request Card. Accept the Terms and Conditions, then tap Submit to successfully request your card.
Then, verify your mailing address in the app to ensure your card is being sent to the correct address.
Go to Settings > Address Information. By default, your ProPay card will be sent to your Home Address. If you’d like to enter a separate, custom mailing address, you can do so at the bottom of this screen by toggling ‘Use Custom Mailing Address’ ON and entering your preferred address.

If your ProPay Prepaid Mastercard is missing or stolen, you need to report it immediately. To do that log into your Wayroo Application:
- Go to Settings from the navigation pane.
- Click ProPay Card to view options related to managing your ProPay Mastercard.
- Select Report Lost or Stolen Card.
- Follow the steps necessary to report your card lost or stolen.
Note: The sooner the card is reported the better. Authorized use of your card means use by yourself or anyone to whom you give actual, implied, or apparent authority.
Tip: Make sure you are not attempting to pair the card reader through your device’s ‘pair new device’ option in the Bluetooth settings screen when trying to connect.

Yes, if your sales through the app meet thresholds set by the IRS, you will receive a mailed 1099-K from ProPay. The form sent by ProPay will only include sales processed through the app. You will receive a 1099-C from corporate if your commissions meet thresholds set by the IRS.
If a chargeback has been issued against your account, this means that a customer has disputed a charge from a transaction with your business, and the funds from that transaction have been returned to the cardholder’s account by the cardholder’s bank.
Common reasons for a chargeback include:
- A purchased item never made its way to the paying customer
- The items purchased have been damaged prior to final delivery
- A customer received the wrong item
- The transaction was not authorized by the cardholder
If you receive a chargeback, it’s important to respond quickly — you only have 10 days to reply.
- Reach out to the customer who issued the chargeback to understand the reason.

No. Unfortunately, the $15.00 chargeback fee is non-refundable, regardless of the outcome.
It is important for merchants to be proactive as a means to prevent chargebacks. Some of the most vigilant merchants end up experiencing a chargeback, but there are practical steps every merchant can take to minimize their frequency. Here are several key items:
- Be available to customers and respond promptly to their inquiries.
- Make returns as easy as possible and have clear return/refund policies.
- Manage shipping expectations.
- Keep customers satisfied. Ship items and issue refunds promptly.
- Inform customers of the business name that will appear on their card statements.
Your ProPay Prepaid Mastercard can be used for purchases and electronic withdrawals that do not exceed the available balance in your ProPay account anywhere Mastercard is accepted.
For other limits log into your Wayroo Application:
- Go to Reports from the navigation pane.
- Select Limits, Rates, and Fees to view applied fees and limits.
- Click the Funding tab on the screen to see the current duration for processing.
Sometimes you may see a transaction on your ProPay card listed in your reports as a “–PPMC AUTH.” This is a temporary authorization transaction, and it occurs when a merchant is requesting to confirm that your Prepaid Mastercard has a sufficient available balance to fulfill the settlement portion of the transaction.
Note: The settlement portion of the transaction process occurs after the sale of a product or service has been finalized and the merchant wishes to be paid.
Normally, the authorization and settlement processes occur simultaneously. Occasionally, depending on the company charging your card, there may be some time between the two stages.
Example: A hotel will often temporarily authorize your card for a higher amount than what you owe at check-in. Then, when you check out, if you haven’t charged any extra services to your room they will settle the card transaction for the smaller, correct amount.
As a courtesy, ProPay typically releases authorization charges after five business days if they have yet to be settled by the merchant. When an authorization charge has been released you will see it credited back to your ProPay account and it will be listed in your reports as “+PPMC EXPIRED AUTH.”
To view the fees that may apply when using your ProPay Prepaid Mastercard log into your Wayroo application.
- Go to Reports from the navigation pane.
- Select Limits, Rates, and Fees.
- View the list of fees and limits.
- Click the Fees tab to see the current fees for ProPay Prepaid Mastercards. ATM transactions may also be subject to third-party fees.
ProPay annually sends IRS 1099-K forms to qualified merchants. Details of qualification criteria can be located at https://www.irs.gov/businesses/understanding-your-form-1099-k.
Data Validation
- Merchants should ensure their business, address and tax identification data on file with ProPay is accurate prior to Dec 31 each year to ensure accurate and timely delivery of 1099-K forms.
1099-K Form Delivery
- The forms will be sent from ProPay to qualified merchants.
- For SSN-validated accounts, forms are generally delivered to the home address of the principal owner of the account.
- For EIN-validated accounts, forms are generally delivered to the business address for the merchant. If none exists, it will be sent to the home address submitted for the account.
1099-K Form Corrections and Updates
- Address corrections only apply to subsequent tax years and do not generate a corrected form to be mailed.
- Corrections made to Legal Name or Tax ID will trigger the hard copy 1099-K corrected forms to be re-mailed. Changes for amended 1099-Ks should always be accompanied by an email to the Wayroo Payments Support team with accompanying documentation and a request for an amended 1099-K.
- Corrected or updated 1099-K forms may take 4-6 weeks to process.
- Corrections are accepted until the end of June for the prior year. Generally, corrections must be submitted by the 11th of the month in order to be included in files sent to the printer.
- If the data update is only for current and future years, these updates can be made directly in the Wayroo app – no notification is needed to the Wayroo Payments support team.

How will merchants receive 1099-K forms?
Direct mail from ProPay.
When will forms be sent?
Prior to Jan 31 each year.
To which address will the forms be sent?
To the Know-Your-Customer (KYC) validated home address on file, typically the merchant principal’s home address for SSIN-validated accounts, or the business address for EIN-validated accounts.
How are the totals calculated?
Volumes include all settled/completed credit card transactions or ACH transactions. Credit Card processing is summed as Payment Card volume. ACH volume is reported as ‘3rd Party Processing’. From tax year 2021 forward, volumes will no longer include Spendback and SplitPay volume.
How should a merchant correct inaccurate data?
For current and future tax years, the merchant should keep their information updated in Wayroo (Settings > Payment Processing and Banking > Business Info).
If the data correction is for an amended 1099-K, the merchant should contact Wayroo Payments Support to request an amended 1099-K.
How long does a merchant have to correct invalid data?
For the current year, merchant data may be corrected until Dec 31 without requiring a contact to contact support.
To correct information on 1099-K forms for the prior year, merchants may submit corrections through June. Merchants must submit these corrections to Wayroo directly.
After June following the tax year, merchants will need to work directly with the IRS.
How should I request a copy of a missing or corrected 1099-K form?
Corrections made to Name or Tax ID will trigger the hard copy 1099-K corrected forms to be re-mailed.
Otherwise, merchants can contact Wayroo Payments Support.
What if the 1099-K and data was reported to the IRS on the wrong Tax ID?
The merchant should submit a copy of a correct W-9 form to Wayroo in order for the data to be corrected with ProPay and the IRS.
What if a merchant sold their business during the tax year?
The former owner should close their merchant account and the new owner should create a new merchant account for the business using their own personal information and tax details.
How long will it take to receive a corrected or updated copy of a 1099-K?
Processing requests for new forms may take up to 4-6 weeks.

Inventory:
- Log into your back office.
- Navigate to the top right corner and click on “Profile.”
- Select the “Complete Order History” button.
- Locate the wholesale order(s) you wish to import into Wayroo. Open the order by clicking on the Order # link.
- Scroll down to the section labeled “Order Images” and click on the “CSV Export” button.
- This action will initiate the download of a CSV File containing your wholesale order data organized into three columns: SKU, QTY, and Item Number (the required format for Wayroo).
- If you need to make any modifications to the quantity (QTY) or add your own item numbers, simply open the downloaded file, make the necessary edits, and save it as a CSV file.
- Once your edited file is prepared, access your Back Office. Click on “Wayroo” in the top menu and navigate to “Personal Inventory Management.” (On a mobile device you will tap on the hamburger menu in the top left then go to “Wayroo” and then “Personal Inventory Management”)
- You can either drag and drop your CSV file into this section or use the “Browse Files” button to locate and select it.
- Once the file appears, click “Upload.” Upon completion, you will see the updated inventory available in Wayroo.
These steps will enable you to efficiently import entire wholesale orders into Wayroo, ensuring your inventory is up to date and ready for use.
To migrate your existing ecommerce inventory to Wayroo follow these steps:
Export your store items: If your current ecommerce platform allows you to download your inventory as a file, save it as a CSV.
Import via Back Office: Use the Inventory Import feature in the Back Office to upload your CSV file. This is the fastest way to bring your existing items into Wayroo.
Scan remaining items (if needed): Any items that cannot be exported or included in the CSV can be added manually. You can do this by:
Scanning items directly in the Wholesale Order feature in Wayroo, or
Adding them via CSV import in the Back Office.
Tip: Using CSV import first saves time and ensures your existing inventory is accurately reflected in Wayroo before manually scanning any remaining items.
The inventory import spreadsheet you will use to add items through the Back Office into your Wayroo inventory will have to be a CSV (Comma Separated Values) file.
The file will include the following columns in this order and header label:
- sku
- quantity
- itemNumber
Note: ItemNumber can be an alphanumeric, up to 6 characters, and can be left blank on the file. For more information about inventory import please click here.
If you do not wish to sell the collection SKU, you will not want to “receive” that item on the Open Wholesale Order. Remember “receiving” an item adds it to your inventory, and to not receive something you simply leave the checkbox unchecked.
The inventory import will replace the counts of the items that are already in the app inventory. Items in your inventory that are not in the CSV file will not change.
If an Item is not found when scanned, try to scan again. Assure there is enough light in the space when scanning the item’s barcode.
Also, you can try to enter the item SKU manually.
- Begin by logging into your Wayroo Back Office.
- Navigate to Personal Inventory Management: In the Back Office, find the “Wayroo” option in the top menu. From this dropdown, click on “Personal Inventory Management.”
Note: On mobile devices, tap the hamburger menu in the top left corner, select “Wayroo,” and then choose “Personal Inventory Management.” - Download Your Current Inventory: Inside the Personal Inventory Management page, look for the “Download Personal Inventory” link. Click the link to download a CSV file (StoreInventoryCounts.csv) containing your current inventory in Wayroo.
- Edit the Quantity column: Upon opening the CSV file, you’ll find your current inventory quantities in Column B. Change all quantity numbers to zero and save the file as a CSV file.
- Upload the Edited File: Once your edited CSV file is ready, return to the “Personal Inventory Management” page. You have two options for uploading your edited file. You can either drag and drop the CSV file into the designated section or use the “Browse Files” button to locate and select it.
- Complete the Upload: After you’ve added the file, click the “Upload” button. Once the upload process is complete, your Wayroo inventory will be reset.
By following these steps, you will successfully reset the inventory in Wayroo and you will be ready to start over.

Wholesale Receiving:
When you choose to follow the steps to receive your order are entirely up to you. The order you just placed will show up in Wayroo immediately. It is important to note that if you choose to receive the order in Wayroo, it makes the items of that order immediately available in all the selling channels of Wayroo. This means that those items from the wholesale order are active and available for purchase on your online store after you mark it “received”.
The Wayroo app was designed to enable you to sell your personal inventory. All sales aides and merchandise cannot be resold to customers and therefore will not show up in your Wayroo inventory.
Hostess rewards are treated as “unknown items” until they are physically received. If they don’t appear in Wholesale Receiving, you will need to add them manually:
Go to the Open Wholesale Order containing the hostess rewards.
Click the barcode icon on that order.
Use your device camera to scan the packaging barcode. This will retrieve the SKU and product information so the items can be properly added to the order.
If you wish to sell your Fashion Fix collection as individual pieces, you will need to add the individual pieces to your inventory. You can add these to the Open Wholesale Order by clicking the barcode icon on that order. This will open the camera so that you can scan the packaging barcode to retrieve the SKU and product information.
If you do not wish to sell the collection SKU, you will not want to “receive” that item on the Open Wholesale Order. Remember “receiving” an item adds it to your inventory, and to not receive something you simply leave the checkbox unchecked.
ShippingEasy:
ShippingEasy is Wayroo’s preferred partner for shipping your orders. In addition to the discounted shipping rates with USPS and UPS, it is fully integrated to automatically import your orders with all the details of the items purchased, which will streamline your business.
It is not required when setting up your Wayroo account, however opting out of ShippingEasy will mean that you are responsible for managing your fulfillment independently.

You will not be able to purchase any more labels, but you will be directed to a screen that will prompt you to either wait until your billing cycle renews or update your plan.
The plan will immediately take effect with the new shipment volume.
If the user downgrades to the free plan, the user will not get refunded for any unused time on the Wayroo Plan. The downgrade is scheduled for the next billing date, so it won’t take effect immediately. The user is prevented from making any changes to subscriptions or add-ons.

Use the share button next to your URL to copy or send the link via email, text, or your favorite messaging app.
You will need to setup domain forwarding wherever your website domain is registered. It will redirect your customers to your Wayroo online store.
For example, on GoDaddy, you will need to make sure you select https:// and Permanent (301) as the forward type. Below is a screenshot example from GoDaddy which shows the correct configuration.
Tap the share button next to the inventory item in the app. When your customer clicks on the link, it will open the item on your Online Store, where they can add to cart and check out. There is also a share button in the upper right corner of the product image on your Online Store.
To enable your local customers to pick up their order(s) at a physical location:
- Go to Settings > Shipping and toggle on ‘Enable Order Pick up’
- TIP: When Order Pick Up is enabled, you will be able to specify a pickup address and any instructions related to this option when creating an order.
